Information we collect

Account information

When your organization registers for Palsent, we collect the name, email address, and job title of the HR Admin or account holder, along with your organization name.

Employee directory data

Customers may upload employee names, email addresses, and team or department assignments to configure their organization. This data is provided by the Customer and used solely to structure the org hierarchy and distribute survey invitations.

Survey responses

Palsent surveys are anonymous by design. Survey links are tokenized — they encode the organization and team for scoring, but do not identify the individual respondent. Responses are stored without any personally identifiable information attached.

Payment information

Billing is handled by Stripe. Palsent does not store, process, or access your full credit card or banking details.

Usage and analytics data

We use PostHog to collect product analytics data including pages visited, features used, session metadata, and browser type. This is used to improve the Service and is not used for advertising.

How we collect information

We collect information through account registration forms, CSV uploads and email invitations from Customers configuring their employee directory, anonymous survey submissions, and automatically through product analytics as you use the platform.

How we use your information

Platform operation

To create and manage your account and deliver the Palsent service.

Insights and reporting

To generate team health scores, risk alerts, AI insights, and presentation-ready reports.

Communications

To send platform notifications and transactional emails such as alert notifications and survey distribution.

Billing

To process payments and manage subscriptions via Stripe.

Product improvement

To improve the Service through product analytics.

Support

To respond to your support inquiries.

Legal compliance

To comply with applicable legal obligations.

Third-party service providers

We share data with third-party providers only as necessary to operate the Service. We do not sell your data.

Stripe

Handles all billing and payment processing. Palsent does not store your full payment details. Stripe's privacy policy governs their handling of payment data.

AI providers

Anthropic (Claude) and Google (Gemini) are used to generate insight summaries and recommended actions. Only anonymized, aggregated survey response text is sent — never names, email addresses, or individually identifiable information.

Infrastructure providers

We use third-party services for hosting, database storage, authentication, email delivery, and product analytics. These providers process data only as needed to deliver their service and are bound by confidentiality obligations.

AI processing

Palsent uses AI models to generate insight summaries, risk narratives, and recommended actions from survey response data. Only anonymized, aggregated survey response text is sent to AI providers — never names, email addresses, or individually identifiable information. AI-generated content is reviewed and editable by HR Admins before being published or exported.

Data retention

Account data and associated organizational data are retained for 12 months from the date of collection, unless a different retention period is configured by the Customer or required by law. Upon account cancellation or termination, data is retained for a reasonable period to allow for dispute resolution, then permanently deleted.

Data security

We implement appropriate technical and organizational measures to protect your information, including encrypted data transmission (TLS), row-level security at the database layer, full multi-tenant data isolation between organizations, and access controls and authentication. No method of internet transmission is 100% secure, and we cannot guarantee absolute security.

Your rights

As a resident of Canada, you have rights under PIPEDA and applicable provincial privacy legislation — including the right to access the personal information we hold about you, request corrections, withdraw consent, and request deletion. Cookies

Palsent uses authentication session cookies necessary to operate the platform. Our product analytics provider (PostHog) may also set cookies to track usage sessions for product improvement purposes. These are not advertising or tracking cookies.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and notify Customers via email or in-app notification.
